I/ Manage reference library
1. Add new digital documents
- The software allows admin to add new digital documents to database. Required information includes document name, issuing agency, issuing time, validity, time of expiry, type of document, .doc file containing document content, etc.
- The system allows importing and direct input of digital documents
2. Edit digital documents
- The software allows admin to edit digital documents in database.
- Information for editing includes document name, issuing agency, issuing time, validity, time of expiry, type of document, .doc file containing document content, etc.
3. Delete digital documents
- The software allows admin to delete digital documents in database.
II/ Search digital documents
1. Classify digital documents by group
- Digital documents are classified into groups based on criteria: issuing unit, issuing date, document type.
- Users can select the way to classify the documents.
2. Smart search
- Users only need to type the content for searching, the software will automatically analyze and return best matching digital documents
- Users do not need to specify the information field for searching. The software will in turn perform smart searches in information fields
3. Search for documents by speech
- The software features voice search instead of typing keywords with the keyboard. This will be more convenient for users on Android, iPad, IOS platforms when using the software.
- Users do not need to specify the information field for searching. The software will in turn search for recorded speeches in information fields
4. Advanced search
- Users can use advanced search by combining details of each data field: What does the document name contain? Issuing date, period of validity, expiry, issuing unit.
- Advanced search makes the result documents match better with users’ searching.
5. Search for related documents
- The software provides a list of related documents of each searched one, from which users can easily view related contents without having to perform further searching.

1. System administration
- Add users to the system, change the role of users in the system, reset user passwords, lock user accounts, delete user accounts from the system.
2. Data management
- Allow adding/editing/deleting documents
3. Normal users
- Allow viewing documents in groups, searching for documents by voice, searching document in smart way.
- Allow advanced document search, searching for related documents.
- Allow reading documents automatically
